When a battalion hands out coins across a full year of recognition, that whole program can often sit on a single card order under the $15,000 threshold. Designs for that kind of coin usually carry the unit crest and motto, with the detail kept large enough to read at coin size. A quote for a run of that size comes back as $4,640.00. Production takes 3–4 weeks once the proof is approved, and shipping is free on that order. The card amount then covers the coins and any presentation boxes, with no freight line on the invoice for the billing official.
Challenge Coins for Government Buyers
Signature Coins has made custom challenge coins for military units and federal offices since 2000, and the same family runs the shop at 4301 Metric Drive in Winter Park, Florida. Our award-winning art team draws each coin in house at no cost and sends a proof, usually within 24 hours. You can review and revise that proof until the design is right, and you don't pay until you approve it. The paperwork a cardholder needs is gathered on this page.

On October 1, 2025, the federal micro-purchase threshold rose from $10,000 to $15,000 under FAR 2.101 and GSA SmartPay Smart Bulletin 002. The government purchase card is the preferred way to pay for a purchase at or under that amount. Many agencies set a cardholder's single purchase limit at the threshold itself. Your agency decides the limit on your card, so confirm the figure with your Agency/Organization Program Coordinator (A/OPC) before placing the order.
For many units, one order can cover the full requirement, with an optional finish upgrade such as 3D sculpted relief or dual plating. Presentation boxes can be added when the coins will be handed over at a ceremony, and those choices can be judged on the proof before you pay.
Our registration and paperwork
Signature Promotional Group LLC, the company behind Signature Coins, holds Unique Entity ID XYHLPN22XCB8. Our CAGE code is 5LZD8, and our SAM.gov registration is active, so your office can verify our status directly. The FAR representations and certifications, including the Section 889 representation, are filed with that registration, so an agency can pull them on SAM.gov using the UEI. A signed W-9 is available for download at signature-coins-w9.pdf, the form billing officials usually ask to see before approving a card purchase. Every order includes a PDF invoice you can download from the order page and forward to the billing official. If your billing official needs the quote's line items to match the card purchase, send us the purchase details and we will prepare a quote that reflects them.
Units and offices have placed thousands of orders with us on the purchase card. Federal agencies have also bought from us by purchase order for years, and those coins were drawn by our artists at the Winter Park shop.
Tax-exempt orders
At checkout, every buyer is asked whether the order is tax exempt, and government buyers should choose the Government Exemption option. Attach the exemption certificate in the field that opens with that option, so the file stays stored beside the order for anyone reviewing the purchase later. Checkout recognizes GSA SmartPay cards and will warn you if sales tax is about to be charged on a card it reads as a government card. That warning appears before payment is submitted, which leaves time to switch to the exemption and keep the tax off the card.
What a card order can cover
Many change-of-command sets are ordered as a matched pair, with rank and name on the reverse of one coin and the unit crest on the other. Presentation boxes hold the commander’s coin for the ceremony, and the unit coin can be ordered alongside it so both arrive together. We draw both designs as part of the order, and either proof can be revised until the lettering and the crest are sharp in the metal. The combined quote is issued as $3,285.00, and for cardholders whose limit sits at the $15,000 threshold, that pair fits in one purchase.
Regional offices often order a seal coin so each employee receives one, with the seal on the face and a line of recognition on the reverse. Teams that closed a hard case or worked through a disaster response sometimes order that seal with the dates added to the design. An office-wide order can come close to a $15,000 card limit, and we quote it as $14,200.00 after our artists redraw the seal so it strikes cleanly at coin size.
Timing your order
Every coin starts with a free design proof, and you can request revisions until you approve it. Nothing is charged for the proof, and approving the proof does not start production. Production starts once the order is paid at checkout, with a card such as a government purchase card. Government agencies, public schools, and hospitals can also use a purchase order, on the organization's letterhead, signed and dated, stating NET 30 terms and matching the full order total. After you submit the PO, confirm with your sales rep that it has been accepted, and then the order goes into production.
Change-of-command dates are often set months ahead, and the coin is presented at the ceremony. Deployment coins with the operation name and dates should be ordered once the departure window is known. September 30 closes the federal fiscal year, and August and September are our busiest months, so a proof approved in the last few days may not finish by then. Upgrades such as 3D sculpted relief or dual plating add production time. The date calculator below takes a ceremony date or September 30, standard or upgraded, and shows the day to approve the proof and place the order by.

Questions
The federal micro-purchase threshold is $15,000 in 2026, after the rise from $10,000 that took effect on October 1, 2025. That change is recorded in FAR 2.101 and GSA SmartPay Smart Bulletin 002, and the purchase card remains the preferred payment method at or under that line. Confirm your card’s single purchase limit with your Agency/Organization Program Coordinator (A/OPC), since the agency sets the limit.
Signature Coins is not on a GSA Multiple Award Schedule, because that schedule does not include promotional products or the awards category that covers medals and ribbons. Custom coins are bought on the open market, most often on a purchase card, and our identifiers are in the registration section on this page.
Download the current W-9 at signature-coins-w9.pdf and attach it to your file before the purchase is reviewed. The form is issued in the name of Signature Promotional Group LLC, the legal entity that operates Signature Coins, so the vendor name matches the invoice. Keep a copy with the quote so the billing official has the tax form and the line items together.
Look up Unique Entity ID XYHLPN22XCB8 on SAM.gov to open the active registration, where that representation is on file. There is no separate 889 form to request. The representation is part of the FAR representations and certifications on the SAM.gov registration.
Select Government Exemption when checkout asks whether the order is tax exempt, and upload the certificate in the field that appears so the order record keeps the file. If a tax amount is still showing on a government card, the page flags it before you submit payment, and sales tax stays off once the exemption is in place.
Yes, we accept the GSA SmartPay card, and checkout is set up to recognize it as a government purchase card. Enter the card once Government Exemption is selected and the certificate is attached, and we can set the quote so your approving official can read it beside the receipt.
Once the purchase is placed, the order page holds a PDF invoice, and that file is the record most billing officials ask for. Where a quote was written to mirror the purchase, the invoice follows that arrangement, so the official can compare them without rebuilding the order from the card statement. To get a replacement invoice, send us your order number.
